The following checklist is a helpful planning tool in organizing your event-- large or small.
Please note that Christina’s Event Managers will help you create the theme, design the décor, plan the menu, order the invitations…and that’s just the beginning.
3-6 Months ahead of event:
- Determine the purpose of the event and who the guests/attendees are
- Allocate a budget
- Set a date. Check for any conflicts with other company or association meetings
- Choose the event theme or mood i.e.: formal sit-down, casual reception, informal outing
- Select a location. Christina’s offers a wide range of event space from elegant ballroom to nightclub and tented outings
- Decide on music/entertainment
- Choose a florist
- Determine your presentation needs such as specialty lighting, sound and projection
- Hire a photographer
2-3 Months ahead:
- Compile the guest list
- Select invitations and have them printed
- Address envelopes and assign a person to handle the RSVP’s
- Select and order any promotional materials/gifts you plan to give to guests
1 Month ahead:
- Mail the invitations
- Finalize your menu selection
- Print menu cards if appropriate
- Finalize the theme, décor, linens, florals and props
- Start a seating plan
- Write and send news releases if appropriate
- Finalize your presentation/audio visual needs
1 Week-10 days ahead:
- Determine accurate guest count and inform your Christina’s Event Manager
- Finalize the agenda/ event timing
- Finalize seating plan and any other table requirements you may have i.e.: registration, awards
- Complete placecards for formal dinners
- Arrange for final payments to your vendors
72-hours prior:
- Deadline for any increases to your guest count
- Final payment due unless other arrangements have been made in advance
- Deliver any favors or other materials to Christina’s
Day of:
- Conduct a walk-through with your coordinator
- Have guest list, name tags and/ or table assignments at the door and make any last minute adjustments as needed
- Have favors/presskits and other give-aways ready
- Relax and enjoy, knowing that the Christina’s event team has everything under control
Event Follow-up:
- Pay any bills remaining at the conclusion of the event
- Send follow-up/gossip releases if appropriate
- Write thank you’s to corporate sponsors and/or volunteers
- Review the event with Christina’s and discuss feedback for future events
